Office/Security Manager
Provides the full-range of administrative and security support in a new facility in the Chantilly area. Duties include office management, security support (facility, personnel, IT) for a TS/SCI facility, and executive assistant to the management team. Position reports directly to the company president.
•Coordinate office activities and schedules; develop and recommend office procedures and systems; ensure smooth office operations.
•Provide security support to include open/close, visitor management, clearance messaging, inbound/outbound document/media screening, and other facility, personnel and IS security functions.
•Receive and screen communications including telephone calls and e-mail messages, and provide assistance using independent judgment to determine which require priority attentions; prioritize, channel, and facilitate communication from program managers.
•Write/draft routine correspondence for staff signatures.
•Attend management, customer, and other meetings and take minutes, as directed.
•Serve as on-site liaison and point of contact for clients, consultants, and affiliate organizations. Answer questions and resolve or refer concerns by communicating proactively and demonstrating commitment to high quality service.
•Perform a wide variety of executive secretarial and administrative duties as required by daily operations.
•Make travel arrangements; maintain appointment schedules and calendars; arrange meetings and conferences.
Should have five to seven years of experience as an Security Manager and/or Executive Assistant.
•Intelligence Community experience desired.
•Security manager experience required in one or more of the following: personnel, facility, information systems;
•Excellent organizational skills;
•Must be comfortable working independently in a small office with lots of phone and on-line interaction and able to complete assignments on-time without extensive supervision;
•Accustomed to making independent decisions/judgments about work priorities;
•Attention to detail and a tolerance for working on multiple projects simultaneously;
•Organizing own work, coordinating projects, setting priorities, meeting deadlines and following up on assignments with a minimum of direction;
•Exemplary customer satisfaction skills;
•Demonstrated commitment to completing projects on a timely basis;
•Business correspondence formatting;
•Standard office administrative practices and procedures, including the use of standard office equipment;
•Analyzing and resolving office administrative and procedural problems;
•Excellent verbal, written and computer skills;
•Communicating effectively with co-workers, subordinates, superiors, the general public, representatives of public and private organizations and others sufficient to exchange or convey information;
•Ability to take initiative, multi-task & work well under pressure; and
•High level of proficiency in the use of Microsoft Office programs.
